I would suggest a project management software such as Microsoft Project, Basecamp, or  DotProject.  I think by using a PM software this will help you by giving the project a central place for departments to communicate, add and edit files (like the docs and spreadsheets you talk about), set the timeline and milestones for each task, and give you better control over the project in general.

If  you guys are an open source shop DotProject is free and works very good. I have used it with some of the compaines and clients I worked for and it will do everything you need.  BaseCamp is web-based and is affordable and prices range from 25-150/month.  $49/month option is more than enough IMO. Then of course MS Project if your a MS Shop.

There are plenty of other vendors out there to choose from and by no means am I a PM software expert but I think you would benefit for incorporating PM software into your workflow process.

		<description>Can you recommend the best way to work with design, copywriters and SEO during the web design and development process?  

I am struggling with how to create an optimal workflow.  I am the SEO Manager and have to figure out how to get my SEO requirements into the design process.  Currently the agency I work for now uses excel spreadsheets and word docs...everything gets passed around between the copywriters, design, myself, etc,. and it becomes extremely messy and inefficient.
